Job Title: Accounting Specialist
Department: Finance
Reports to the following: Site Leader, General Manager

Position Summary:  Responsible for providing financial, administrative and clerical services to both clients and corporate. This includes processing and monitoring payments and expenditures to ensure that company finances are accurate and up to date, and that clients pay within established time limits.

Qualifications required:
• High School Diploma
• Intermediate skill level in Microsoft Office Suite
• Strong communication skills, both verbal and written
• Two plus years of accounts payable payment processing experience
• Two plus years of Invoicing experience 
• Experience with multi-currency and exchange rates between US and Canada

Qualifications desired:
• Heavy data entry experience
• Experience with internet browsers and web-based applications
• Experience in the transportation industry
• Account Reconciliation experience

Essential functions and responsibilities:
• Provide accounting and clerical assistance to the finance department
• Accurately typing, preparing, and maintaining accounting documents and records
• Entering daily key financial data in our accounting software  
• Provide support and assistance to our personnel
• Respond to a range of inquiries regarding financial transactions, which includes researching and resolving problems and assist in data collection for the annual audit process
• Accounts Receivable 
o Process checks and enter in accounting system
o Process EFT payments and enter in accounting system
o Process Credit Card payments to settle customer invoices
• Collections: posting, write-offs of bad debts, coordination of accounts sent to collections, & inform operations of account lock outs. . Handle Month End Reporting to Headquarters
• Handle balancing on the Credit Card Terminal
• Verify invoices for services provided
• Verify that transactions comply with financial policies and procedures 
• Accounts Payable 
o Prepare, verify, and process invoices and coding payment documents 
o Handle EFT Payments and Interac eTransfers when necessary
• Manage the weekly bank deposit
• Prepare manual cheques as and when required

Performance standards:
• Annual performance appraisal for non-exempt level
• Attainment of annual goals established between supervisor and incumbent

Working hours: Monday through Friday 8:00 AM - 5:00 PM EST
